Workflow Tasks for Images and PDFs
Prior to uploading a file to MediaValet, do the following:
- Collect the required metadata
- List the required metadata
- Save the source file with the correct file naming convention
In MediaValet
- Upload file to MediaValet (manually vs Wrike)
- Verify metadata has been applied and follows governance
- Verify file name follows governance
- Sync file to AEM Assets
In AEM Assets
- New Asset for Review - Approve/Reject new asset listed in MuleSoft email
- New Asset Added - If approved, move new asset to correct hosting location per Asset Hosting governance
- Rejected Asset - If rejected, verify asset has not be added
- Override - Asset will autorepublish in its current location within AEM Assets
- Its references will need time to recache and to reflect the updated asset
- Rquest a manual cache of the pdf and its references if the normal recache is taking too long
- Delete for Review - Approve/Reject asset listed in MuleSoft email
- Deleted Asset - Verify asset had been removed from AEM Assets

Troubleshooting Common Issues
Metadata in Asset Is Wrong
- Fix metadata in MediaValet; common metadata issues include:
- Required metadata is missing (Title, Description, Tags, etc.)
- Special characters are used in metadata fields
- Tags do not match between platforms
- Resync from MediaValet to AEM; the asset will republish automatically
File Name in Asset Is Wrong
- Fix the pdf file name in the source file or in the MediaValet item's File Name field; common file name issues include:
- File Naming Conventions are not followed
- Special characters are used
- A space appears between characters (this will cause %20 to appear in URL for the pdf where the empty space is)
- AVEVA_ has not been removed
- File Naming Conventions are not followed
- Override the file in MediaValet - do not create a new item; or create a new version within an existing item???
- Verify file names match between MediaValet and AEM Assets prior to resyncing
- If file names do not match between systems, then the item will be considered a new item when it arrives in AEM Assets, and the references will be lost on the AEM asset, and autopublishing will not occur
- Resync from MediaValet to AEM; the asset will republish automatically
Browser Title or XMP Title in PDF Is Wrong
When a pdf is viewed in a browser, sometime the Browser Title will not match the Title of the pdf, or it will not match the Title in the MediaValet item's Title metadata field
The issue is that the XMP Title in the PDF Properties is overriding the MediaValet item's metadata Title - this is a known issue with no technical solution in the MediaValet to AEM workflow
- Fix the pdf XMP Title so that it reflects the title of the document; common XMP Title issues include:
- XMP Title Naming Conventions are not followed
- The title for a completely different document has not been overwritten with the correct new title for the current document
- There is not a space between words
- .pdf is included in the XMP Title
- The word "copy" is included in the XMP Title
- XMP Title Naming Conventions are not followed
- To fix in MediaValet: Ideally, the Browser Title text would be pulled from the MediaValet item's metadata Title field, but this cannot be fixed from a technical workflow perspective
- Edit the pdf source file to fix the XMP Title properties, resave the pdf, and reupload the pdf to the same existing item as a new version in MediaValet
- Resync from MediaValet to AEM; the asset will republish automatically
- To fix in AEM Assets: Do not take this approach as content will be overwritten the next time the pdf is synced to AEM Assets (only take this approach if there is a legal violation with the text used)
- Edit the text in the Title field of the Asset Properties manually, save the item, and republish the item and its references
Caching in AEM Is Taking Too Long for Overridden Assets
- Do a hard refresh
- Look in Incognito mode
- Clear browser
- Request a manual cache of the pdf and its references
