MediaValet Saved Searches

Several Saved Searches have been set up and shared in MediaValet.

These Saved Searches help with monitoring both volume of synced content, as well as issues with the workflow between MediaValet and AEM Assets.

How to Access the MediaValet Saved Searches

  1. Log in to MediaValet.
  2. Go to Advanced Search .
  3. Look for Saved Searches that are "Shared with me".
  4. View the following shared Saved Searches.

How to Read the Saved Searches

  • These Saved Searches should be empty most of the time
  • Items will show on these Saved Searches when the workflow is waiting for a Web Team member to approve a new item in a MuleSoft email
  • Once the Web Team member approves the item to be added to AEM Assets in the MuleSoft email, then the item(s) should disappear from the Saved Searches
  • Refresh the Saved Searches to ensure the items are removed

How to Read the Saved Searches

  • These Saved Searches show an inventory of all assets synced to AEM Assets
  • If you were to export a list of assets from the AEM Assets report, then the number of MediaValet items between the two systems should match
  • If the numbers of MediaValet items between the two systems do not match, then check the other Saved Searches below to see if there are any pending items to be addressed

How to Read the Saved Searches

  • These Saved Searches should be empty most of the time
  • Items will show on these Saved Searches when there is missing metadata
    • For Presentation images, common missing metadata for AW26 items were: 
      • Event - Asset Source
      • Event - Speaker Bio 
  • Clear the error in MediaValet and save the changes
  • Do one of the following:
    • Edit the fields in Swoogo to fix the issues in the source item and resend to MediaValet, then resend to AEM (preferred method) 
      • If the source issues are not fixed in Swoogo and item is resent from Swoogo to MediaValet and then AEM, then the error will occur again
    • Edit the fields in MediaValet and resend to AEM (this method does not fix the source item in Swoogo) 
  • Refresh the Saved Searches to ensure the items are removed

How to Read the Saved Searches

  • These Saved Searches should be empty most of the time
  • Items will show on these Saved Searches when a Web Team member rejects a new item in a MuleSoft email
  • If items are listed, then confirm no one is waiting on the items
  • Clear these status fields for the affected items in MediaValet in Edit Attributes:
    • Sync to Adobe done by user
    • Sync to Adobe status
    • Sync to Adobe status updated on
  • Refresh the Saved Searches to ensure the items are removed

Open issue:

  • I don’t think we have a recent scenario where the Web Team rejected the deletion of an existing item
  • I am not sure if the error message is the same as or different from the one used for rejecting new items:
    • Rejected = AEM Admin has rejected the Asset Sync operation

  • Items will show on these Saved Searches when the workflow is waiting for a Web Team member to approve an item for deletion in a MuleSoft email
  • Once the Web Team member approves the item(s) to be deleted from AEM Assets, then the item(s) should disappear from the Saved Searches
  • Refresh the Saved Searches to ensure the items are removed
